Program Manager, Marketing & Specialty Meetings

Position Summary
Veritas Association Management seeks a highly organized and proactive Program Manager, Marketing & Specialty Meetings to support the coordination and execution of specialty medical meetings and educational programming, while also managing internal marketing traffic workflows and team engagement initiatives. This position is ideal for someone who enjoys working across departments, ensuring meeting compliance, and fostering team culture.
The Program Manager will serve as a central resource in both CME-accredited program management and marketing operations coordination, including scheduling and running status meetings and overseeing department-wide collaboration and communication tools.
Position Responsibilities
Specialty Meetings & Program Management
- Coordinate logistics for Specialty Meetings, including session planning, speaker communication, and onsite support.
- Collaborate with program chairs and planning committees to finalize agendas, timelines, and scientific content.
- Manage speaker and abstract management systems, disclosures, bios, presentation materials, and deadlines.
- Oversee CME documentation and compliance processes, including outcomes reporting, evaluations, and applications to ACCME or equivalent bodies.
- Support session execution and run-of-show documentation; coordinate AV, recording, and vendor services.
- Provide onsite assistance including faculty support, registration, and logistics oversight as needed.
Marketing Operations Support
- Act as Traffic Manager for Veritas’ internal Marketing Work Order System housed on the company intranet:
- Intake, assign, and track creative and communication requests from client teams to marketing.
- Monitor timelines and follow up on outstanding tasks and
- Coordinate with the creative, digital, and project management teams to ensure workflow transparency and timely completion.
- Communicate marketing campaign needs and milestones in alignment with specialty meeting timelines.
- Ensure accuracy and timeliness of updates in project management tools and marketing
Team Engagement & Internal Communications
- Manage and post Veritas Celebrations (employee birthdays and work anniversaries) in the company’s “Virtual Watercooler.”
- Ensure that posts are timely, inclusive, and reflective of company culture and
- Support additional light administrative or cultural initiatives that contribute to a positive team environment.
Technology Use & Coordination
- Regularly utilize Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) for project documentation, communications, and reporting.
- Use project management software (e.g., Asana, com, Trello) to assign tasks, monitor deadlines, and manage workflow across departments.
- Comfortable learning new technology platforms related to CME, abstract management, speaker logistics, and client engagement.
Required Experience
- Bachelor’s degree in Marketing, Communications, Event Management, Healthcare Administration, or a related field.
- 3+ years of experience in medical education, CME coordination, event planning, or project/traffic
- Knowledge of CME accreditation processes and ACCME guidelines are strongly
- Experience managing multi-stakeholder projects and communicating across internal teams and departments.
- Proficiency in Microsoft Office Suite, project management platforms (e.g., Asana, Trello), and association software (Cadmium, MemberClicks, Omnipress) preferred.
- Exceptional organization, multitasking, and communication
- Positive attitude, flexibility, and ability to work collaboratively in a fast-paced, remote/hybrid AMC environment.
