Veritas Meeting Solutions, a fast-growing Association Management and Meeting Planning company specializing in medical sub-specialty associations, is seeking a Full-Time experienced Association Coordinator with project management experience. This can be a remote position. The success of our clients is paramount in Veritas’ culture. Position Summary

The role of Association Coordinator serves to meet the administrative and strategic support needs of a medical society’s leadership including the Executive Director (ED) and Associate Director (AD) depending on the client. They primarily deliver on administrative planning and execution to support client services, client events, and society management. They serve as a liaison to the other members of the client team in Veritas (meeting planners, client services, marketing and communications, accounting, etc). They will also organize and coordinate executive outreach, external relations efforts, and oversee special projects. The Association Coordinator will enjoy working within a small, entrepreneurial environment that is mission and results driven.

The ideal candidate must be comfortable communicating with physicians in leadership positions within societies, demonstrate strong written and verbal communication both internally and client-facing, as well as demonstrate
administrative and organizational skills while balancing multiple priorities. The Association Coordinator will have the ability to work independently on projects, from conception to completion, with oversight from the ED/AD as needed.

Position Responsibilities

  • Utilize professional, strong written and verbal communication.
  • Demonstrate organizational skills, ability to manage multiple projects and move quickly from one project to another while maintaining thorough records. Requires the ability to be flexible and balance competing priorities.
  • Collaborate with Veritas departments striving to exceed the client’s expectation in terms of high-quality service delivery and operational excellence, meeting deadlines, and goals with success.
  • Work independently on projects, from conception to completion, work under pressure at times, handling a wide variety of activities and confidential matters with discretion.
  • Client project management, meeting agenda development, managing an extremely active calendar of meetings.
  • Coordinate schedules to manage client meetings and internal team discussions.
  • Research, prioritize, and follow up on issues and concerns as assigned by the Associate or Executive Director or that may be requested by the Executive Board.
  • Support the client committees and acting as a liaison with the Executive Team.
  • Complete special projects assigned by the Associate or Executive Directors.

Required Experience

The ideal candidate will have the following experience and qualifications:

  • Bachelor’s degree or equivalent in experience that includes administrative support.
  • Strong interpersonal and excellent oral and written communication skills.
  • Ability to adjust messages to diverse audiences quickly establishing credibility, along with ability to maintain ongoing relationships.
  • Strong multi-tasking skills and ability to thrive in a dynamic, fast-paced environment.
  • Excellent computer skills (MS office suite software as well as other office-related technologies)
  • Resolve problems efficiently and quickly.
  • May require the ability to travel to Veritas managed client meetings.
  • Experience managing multiple committees and taking meeting minutes.
  • Experience working with associations preferred.
