Position Summary

The role of Administration Assistant serves to meet the administrative and strategic support needs of a medical society’s leadership and the Executive Director (ED). They primarily deliver on administrative planning and execution to support client services, client events, and society management. They also serve as a liaison to the other teams in Veritas (meeting planners, client services, marketing and communications, accounting, membership, etc); organize and coordinate executive outreach and external relations efforts; and oversee special projects. The Administrative Assistant is creative and enjoy working within a small, entrepreneurial environment that is mission and results-driven. The ideal candidate will be comfortable communicating with physicians in leadership positions within societies, demonstrate strong written and verbal communication both internally and client-facing, while demonstrate administrative and organizational skills while balancing multiple priorities. The Administrative Coordinator will have the ability to work independently on projects, from conception to completion, with oversight from the ED and the AD as needed.

Position Responsibilities

  • Utilize professional, strong written and verbal communication.
  • Demonstrate organizational skills, ability to manage multiple projects and move quickly from one project to another while maintaining thorough records. Requires the ability to be flexible and balance competing priorities.
  • Collaborate with Veritas departments striving to exceed the client’s expectations in terms of high-quality service delivery and operational excellence, meeting deadlines, and goals with success.
  • Work independently on projects, from conception to completion, work under pressure at times, handling a wide variety of activities and confidential matters with discretion.
  • Client project management, meeting agenda development, managing an extremely active calendar of meetings.
  • Coordinates schedules to manage client meetings and internal team discussions.
  • Research, prioritize, and follows up on issues and concerns as assigned by the Associate or Executive Director or that may be requested by the Executive Board.
  • Support the client committees and act as a liaison with the Executive Team.
  • Complete special projects assigned by the Associate or Executive Directors.
  • May require the ability to travel to Veritas managed client meetings.

Qualifications

The ideal candidate will have the following experience and qualifications:

  • Bachelor’s degree or equivalent in experience that includes administrative support.
  • Strong interpersonal and excellent oral and written communication skills.
  • Ability tadjust messages tdiverse audiences.
  • Strong multi-tasking skills and ability tthrive in a dynamic, fast-paced environment.
  • Excellent computer skills (MS office suite software as well as other office-related technologies)
  • Experience in Committee Management with a professional association.
  • Detail-oriented and results-driven meeting deadlines with project management experience.
